2. Data we collect

2.1 Account data

When you create an account or purchase a subscription, we collect: name, email address, and billing address. Legal basis: Art. 6(1)(b) GDPR (contract performance).

2.2 Payment data

Payments are processed by PayPal. We do not store credit card numbers. PayPal processes your payment data under their own privacy policy. Legal basis: Art. 6(1)(b) GDPR (contract performance).

2.3 Bot usage data

When you use our AI bot service via Telegram, we process: your Telegram user ID, messages sent to the bot, and bot responses. This data is necessary to provide the service. Legal basis: Art. 6(1)(b) GDPR (contract performance).

2.4 Technical data

Our servers automatically collect: IP address, browser type, pages visited, and timestamps. Legal basis: Art. 6(1)(f) GDPR (legitimate interest in security and performance).

3. Third-party services

OpenAI — AI language model provider. Bot conversations are processed via OpenAI's API. OpenAI acts as a data processor under our instructions. OpenAI Privacy Policy

Telegram — Messaging platform. Your Telegram ID and messages are processed to deliver bot functionality. Telegram Privacy Policy

Contabo GmbH — Hosting provider (Germany). All data is stored in the EU. Contabo Privacy Policy

Cloudflare, Inc. — CDN and security. Certified under the EU-US Data Privacy Framework. Cloudflare Privacy Policy

Google Fonts — Web fonts loaded from Google servers. Google may process your IP address. Google Privacy Policy

4. Data retention

Account data: retained for the duration of your subscription + 30 days after cancellation.
Bot conversations: retained for 90 days, then automatically deleted.
Server logs: retained for 30 days.
Billing data: retained for 10 years as required by German tax law (§ 147 AO).

5. Your rights

Under the GDPR, you have the right to: access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20), and objection (Art. 21). To exercise these rights, contact info@the-employees.com.

You have the right to lodge a complaint with a supervisory authority. The competent authority for Mecklenburg-Vorpommern is the Landesbeauftragte für Datenschutz und Informationsfreiheit Mecklenburg-Vorpommern.

6. International transfers

Bot conversations are processed by OpenAI (USA). OpenAI operates under the EU-US Data Privacy Framework and Standard Contractual Clauses (SCCs). All other data remains in the EU.

7. Changes

We may update this policy. The "Last updated" date indicates the most recent revision. Material changes will be communicated via email to registered users.
